INFORMATION FOR EXHIBITORS
On this page you will find all the operational information you need to make the most of your participation at BolognaFiere on 15, 16 and 17 May 2026. Please read carefully: some items require action from you in the days leading up to the event.

We invite you to review your participation form to remind yourself of the assigned space and the supplies included.
We have also prepared the detailed floor plan of the three halls, where you can verify the exact position of your booth and everything included with it: walls, slatwall, carpet, tables, chairs, quantity and location of power outlets.
If you notice any discrepancies between your participation form and the floor plan, please contact us immediately at commerciale@guitarshow.it.
2Reserved area: passes, guest tickets and artist management
In the next few hours you will receive a dedicated email with the link to your reserved area, from which you will be able to manage independently:
- your staff's exhibitor passes
- vehicle passes for parking
- passes for your artists
- the guest tickets you have purchased
Passes are personal: each individual pass must show the name of the person wearing it. Each pass shows the exhibitor's name, the holder's name and QR codes for access verification.
Once printed, passes can be folded into four parts and inserted into a badge holder. We recommend you get vertical badge holders, 11×15 cm, with a lanyard: it's the ideal format for the folded pass.
3Stage demos: schedule and shared artist management
If you have booked one or more demos, in the next few hours you will receive a recap email containing:
- your confirmed demo times
- the list of artists you need to issue passes to — new this year
This second piece of information is meant to handle correctly those cases where the same artist is shared between several exhibitors. Our organisation will tell you who needs to issue the pass for that artist, avoiding duplicates or omissions.
4Exhibition venue map
Below you can find the map of the exhibition venue, with the location of:
- vehicle entrances (for set-up and dismantling)
- exhibitors' parking areas
We recommend you check the map before leaving for Bologna and save the vehicle entrance location to your navigator.

6Sound Policy 2026
This year we are introducing a new Sound Policy to ensure a better experience for exhibitors, artists and visitors. We ask you to read it in full and to share it with your staff and with the artists who will perform at your booth.
In summary, the general rules for this year:
- Differentiated zones: Silent zones (headphones or acoustic instruments only) and Quiet-Play zones (amplification allowed up to 75 dB measured at 2 metres from the source)
- Hourly Sound Reset: from minute 45 to minute 00, 15 minutes of scheduled silence in all halls
- PA systems, recorded music and acoustic percussion are forbidden inside the halls
- Friday morning from 10:00 to 14:00: all halls in Silent mode
- Continuous monitoring by dedicated staff throughout the entire event
A respected sound policy is what allows everyone to make their instruments heard, talk to clients without raising their voices, and play test without being drowned out by their neighbours. We count on your cooperation.
7Parking: optimise your arrival
Exhibitor parking is large, but we ask you to optimise your incoming vehicles: where possible, sharing one car is preferable to arriving with as many cars as people involved.
It's a small gesture that makes access and unloading operations smoother for everyone.
8Important notice: unauthorised paid services
An important clarification to avoid misunderstandings.
The Guitar Show is, and remains, a great meeting point: journalists, press, YouTubers, bloggers, artists and content creators are a vital part of the event, and any contact, collaboration or visibility opportunity that arises spontaneously between them and you is welcome and encouraged.
Likewise, any professional is free to offer you their paid services: we do not interfere with your commercial choices.
However, we have been informed that some exhibitors are being contacted by external parties offering paid services — printing, photography, video and similar — using the Guitar Show name or implying an official partnership with our organisation.
Please report any such contacts to backoffice@guitarshow.it: it helps us protect you and the integrity of the event.
